FAQ's Mail Services

Where are you located and what are your hours? How late may I drop off mail requiring postage?
University Mail Services (UMS) is located in the Central Warehouse across the street from Motor Pool; entrance is on the back-left side of the building. Hours are Monday through Friday, 8am-4:30pm. Please bring your mail requiring postage (out-bound mail) to UMS by 3:45 to make our last run of the day to the Storrs U.S. Post Office. If you miss our last run, you may bring your out-bound mail to UMS by 4:30pm to obtain postage. If you want your mail sent out the same day, however, you will need to take it yourself to the Storrs U.S. Post Office, which closes at 5pm.

How long does it take to deliver mail from one Storrs campus department to another?
Internal mail at the Storrs campus is normally delivered within 24 hours.

Can your machines seal envelopes? Whom do I contact for a bulk mailing?
Our metered mail machines seal letter-sized envelopes only. The minimum size envelope is
3 ½” high by 5” long; and the maximum size envelope is 6 1/8” high by 11 ½” long. Bulk mailings are not handled by UMS—they are handled by Inserting and Addressing at the Document Production Center. You may contact Inserting and Addressing at 860-486-4218.

What is the difference between Certified and Registered Mail?
Most of the time, you should send important documents via Certified Mail. Registered Mail is best for sending valuable mail or when mailing something to another country.

Does UMS handle UPS for the University?
No, Central Stores handles UPS. You may contact Central Stores at 860-486-6297.

Can I receive my personal mail at my UConn departmental address?

No. The University requires all faculty and staff to receive their personal mail at home or permanent address. Occasional correspondence from friends and colleagues is not considered personal mail.

Can I send my personal mail through Campus Mail Service and bill it to my department?

As a courtesy to University faculty and staff, Campus Mail Service will pick-up any stamped personal mail from departments along with other mail that is picked up at a regular pick-up location. Personal Mail must be sealed and have the correct postage affixed. All stamped mail should be kept separate from all other mail. Personal mail cannot be billed to a departmental account; no exceptions.

FAQ's Inserting & Addressing

What is the difference between First Class and Third Class mail?
If you use First Class mail, the benefit is next day delivery, but you pay more than Third Class. If you use Third Class mail, you pay much less than First Class, however the delivery time is usually increased by three to four days.

Do I need to move update my mailing lists and how often does it need to be done?
Move updating your mailing lists is a U.S. Postal Service requirement. Mailing lists need to be updated every 95 days. Inserting and Addressing will move update your mailing lists prior to any addressing we do for you.

I am labeling my own mailing. What do I need to know?
If you are labeling your own mailing, please keep the following in mind. Make sure your mailing list is move updated. When you label your mail pieces, make sure the labels are not too high or too low. Also, make sure that the labels are straight. Crooked labels cannot be machined by postal service equipment and may cost you in price per piece and delivery time. When you send the mailing to Inserting and Addressing, we recommend that you provide us with a sample piece including the FRS number. In any event, please provide us with the FRS number.

FAQ's Quick Copy

Where are you located and what are your hours? Do you deliver? Do you laminate?
The Document Production Center (DPC), including Quick Copy and Inserting and Addressing, is located in the Central Warehouse; entrance is on the front-right side of the building. Hours are Monday through Friday, 8am-4:30pm. Central Stores delivers packages for DPC free of charge to certain locations. We can laminate up to 42 inches wide and most any length.

Before printing, can you provide a price quote and may I see a proof?
Once DPC has all the necessary information, we will work up a price quote for you prior to printing. We can provide you with one proof before printing, free of charge.
